The Fenerbahçe Club made a statement regarding the process of delivering, protecting, counting, and reporting the collected signatures.



The statement made by the yellow-blue club included the following expressions;



"In accordance with the relevant provision of our club's regulations, the workflow plan created for the delivery, control, communication, and result reporting stages of the declarations to be delivered to our Club via notary regarding the request for an extraordinary general assembly meeting with elections is outlined below.



1. DELIVERY PROCESS



1.1. Declarations related to the call for an extraordinary general assembly with elections can be delivered to our Club in four ways.



These delivery methods are classified as follows;



(i) delivery by post via notary,



(ii) delivery by the YDK,



(iii) individual personal delivery, and



(iv) collective delivery.



1.2. Declarations will be accepted for delivery between 09:00 and 21:00 hours during the day.



1.3. Declarations brought through collective delivery will be jointly received by authorized personnel from Member Relations, the Legal Unit, and the Administrative Affairs Unit, along with a member of the board assigned by the YDK.



1.4. During the collective delivery of signatures, a printed Excel list containing the information of the members who submitted declarations will be requested to be delivered, as well as sent digitally to the General Secretariat's email address.



The Excel list must include the T.C. Identity Number, full name, member number, journal number, and the notary information of the members who submitted declarations without any omissions.



1.5. The received declarations and the accompanying Excel list will be officially recorded one by one with a delivery report signed by the parties.



1.6. During the collective delivery phase of the declarations, the Excel list will first be compared with the declarations to perform a formal check (name-surname, accuracy of the number of declarations) (Pre-Control Process).



The validity/invalidity of the declarations will be determined not at the time of delivery but during the subsequent detailed control process.



1.7. During the process of collective delivery of declarations, it will not be possible to provide a document registration number at the time of delivery due to the practical impossibility caused by the large number of declarations.



1.8. After the Pre-Control Process is completed, each declaration will be recorded in the document registration book prepared by the Information-Document Unit with notary approval, and a document registration number will be assigned.



1.9. There is no difference in application regarding the direct delivery of declarations to the General Secretariat or through the High Council. The protocol mentioned above will be valid for both delivery methods.



2. CONTROL PROCESS



2.1. The received declarations will be securely stored in the archive room belonging to the Member Relations Unit. The security of the declarations will be ensured by continuous audio and video recording in accordance with KVKK regulations for 24 hours.



2.2. The signature declarations registered by the Club General Secretariat will be delivered to the Registry Board with a report.



2.3. The control of the signature declarations will be carried out by the Registry Board.



2.4. During the control process of the declarations, membership information and notary registration will be checked.



2.5. After the necessary inspections are carried out by the Registry Board, the resulting report will be delivered to the General Secretariat to be presented to the Board of Directors.



3. COMMUNICATION PROCESS



3.1. Public information regarding the delivered signature declarations will be provided by the General Secretariat.



3.2. The Member Relations Unit will inform the members who submitted declarations about the delivery process and document registration number via SMS. Public information regarding the delivered signature declarations will be provided by the General Secretariat.



3.3. In case of invalidity in the signature declarations (TCKN, member number, name-surname error, etc.), the member(s) will be contacted via their registered phone number.



3.4. Any questions and requests for information that may arise after the delivery of declarations related to the extraordinary general assembly call process will be answered by the General Secretariat.



4. RESULT REPORTING PROCESS



4.1. The result report to be created will include;



- TCKN



- Member No



- Full Name



- Notary Information



- Journal No



- Delivery Date



- Status (Valid-Invalid)



- Explanation



- Delivery Method



Information will be included.



4.2. In the summary section of the report;



- Total number of signatures



- Number of valid signatures



- Number of invalid signatures



- The reasons for the invalidity of the invalid signatures will be clearly and explicitly stated."
